Hiring your first employee in Poland
Taking on your first employee is a milestone — and it switches on a set of obligations that need to be ready before day one, not after.
Before the start date
- A written employment contract (umowa o pracę) — or a civil contract (zlecenie / dzieło) if that genuinely fits the work — stating role, pay, hours and term.
- ZUS registration of the employee, filed within 7 days of the start date.
- Up-to-date occupational health & safety (BHP) training and, where required, a medical clearance.
Every month after
- Run payroll: calculate gross-to-net, withhold the PIT advance, and compute employee and employer ZUS.
- Pay net salary on time and remit contributions and tax by their deadlines.
- Keep payroll records and the personnel file in order.
Getting it right
