What a 10,000 zł Salary Really Costs an Employer in Poland

Ask a founder what an employee on 10,000 złoty costs and you will usually be told 10,000 złoty. The real figure is 12,048 złoty a month before you have bought a desk, and the gap is not a rounding error — it is 20.48% on top of every salary you pay, every month, whether the company is profitable or not.

Then the employee’s own contributions and income tax come out of the 10,000, so what actually reaches their account is far below it. Two numbers, both true, and the distance between them is the thing nobody explains at the offer stage.

The three rates that are not fixed

Most of that 20.48% is the same for everybody. Three components are not.

Accident insurance varies from 0.67% to 3.33% depending on your industry and your headcount. The 1.67% above is the rate that applies to payers with fewer than ten insured people, which covers most companies in their first years. A warehouse or a haulage firm pays materially more than an office, and the rate is set by activity code — so the PKD you chose at registration has a monthly cost attached to it that nobody mentions when you choose it.

The Labour Fund is not always due. It is not charged for employees over a certain age, nor for some employees in their first job after a period of registered unemployment. On a small team this is worth checking rather than assuming.

PPK adds up to 4% more. Auto-enrolment into the capital pension scheme costs the employer a minimum of 1.5% of gross, and the employee may opt out — but the employer share is a real cost for everyone who does not. Budget for it as though everyone stays in, because some will.

What this does to hiring decisions

The minimum wage is a floor with a multiplier. At the 2026 statutory minimum of 4,806 zł gross, the employer cost is roughly 5,790 zł. Every increase in the minimum wage raises your cost by about a fifth more than the headline number suggests.

Civil-law contracts are not automatically cheaper. A zlecenie contract has its own minimum hourly rate — 31.40 zł in 2026 — and carries contributions in most circumstances. The genuinely lower-cost cases are narrower than founders expect, and misclassifying an employment relationship as a contract is the kind of saving that is reversed with interest.

B2B is a different arrangement, not a discount. Contracting with someone’s own business removes the employer contributions, and it also removes the employment relationship — including the control you can exercise, and including protections that cannot be waived. If the working relationship looks like employment, the label on the contract does not decide the question.

What to do with this

Two things, in order.

First, when you budget a hire, budget the employer cost and not the salary. A five-person team on an average 10,000 zł is a payroll of 60,000 zł a month, not 50,000 — and the 10,000 zł difference is what surprises companies in their second quarter.

Second, check your accident rate against your actual activity. It is one of the few payroll costs you can legitimately influence, and an inherited activity code that no longer describes what the company does may be costing you every month.
