All Erasmus+ traineeships Erasmus+ · Acceptance letter

What does an Erasmus+ acceptance letter contain?

It is the host organisation’s signed confirmation that it accepts one named participant. Ours gives the dates, the traineeship area and tasks, the mentor, the working hours and our office address. It is not the Learning Agreement, which all three parties sign, but it goes with it to the sending organisation and, where a visa is needed, to the consulate.

What our letter states

One letter per participant, signed by MEYİS. It names the participant and the sending organisation, gives the start and end dates, the traineeship area and its main tasks, the mentor, the working hours and the place: our office in central Warsaw.

Before your National Agency application we sign a letter of intent for the whole project; the acceptance letters follow once you have selected the participants.

Acceptance letter or Learning Agreement?

The acceptance letter is the host’s word alone. The Learning Agreement for Traineeships is the programme that the trainee, the sending institution and the host agree and sign before the start, with the tasks, the learning outcomes and each party’s commitments.

Both are needed: we sign the host’s parts of the Learning Agreement in good time, and the acceptance letter goes wherever only the host’s confirmation is asked for.

For a visa

Participants who need a Polish visa must show documents confirming the purpose of their stay, and proof of accommodation. We provide the acceptance letter and the Learning Agreement; MEYİS does not provide accommodation, but we advise on districts and options.

Plan the visa when you plan the dates: contact us at least 8 weeks before the start, or 12 weeks when participants need a visa.

Questions

What we are asked about this

01 Who issues the Erasmus+ acceptance letter?

The host organisation, signed, for each participant. At MEYİS it comes once the sending organisation has selected the participants.

02 Is the acceptance letter the same as the Learning Agreement?

No. The letter is the host’s confirmation; the Learning Agreement is the programme that the trainee, the sending institution and the host all sign before the start.

03 Is the acceptance letter enough for a visa?

No. The consulate asks for documents confirming the purpose of the stay, which the letter and the Learning Agreement provide, and also for proof of accommodation and health insurance.

04 How early should we ask for it?

For a funded project, at least 8 weeks before the start, or 12 weeks when participants need a visa. For a new application, ask us for the letter of intent before you apply.
